1. AI Disclaimer
ZippyPro incorporates artificial intelligence ("AI") features throughout its platform, including AI agents, automated workflow suggestions, content generation, estimating assistance, and communication tools. These AI-powered features are designed to help contractors and home service professionals streamline their business operations.
All responses, suggestions, and outputs generated by ZippyPro's AI features are AI-generated and do not constitute professional advice. AI outputs should not be treated as a substitute for qualified legal, financial, accounting, tax, safety, or other professional counsel.
While our AI features are designed to provide helpful and relevant information, they are tools to assist your decision-making — not to replace your professional judgment or the advice of licensed professionals.
2. Data Storage
ZippyPro maintains clear and transparent data retention practices for AI-related conversations and interactions:
- Retention Period. AI conversation data, including messages and AI-generated responses, is stored for a maximum of 30 days from the date of creation.
- Message Limits. Each AI assistant is limited to 50 messages per conversation thread. Once this limit is reached, the oldest messages are automatically removed to make room for new interactions.
- Automatic Deletion. All AI conversation data is automatically and permanently deleted after the 30-day retention period. No manual action is required on your part.
- No Permanent Storage. AI conversation data is not archived or stored beyond the 30-day window. Once deleted, this data cannot be recovered.
These retention limits apply specifically to AI conversation data. Your core business data (contacts, estimates, invoices, schedules, etc.) is retained according to the data policies outlined in our Terms of Service and Privacy Policy.
3. Data Privacy
We take the privacy and security of your AI interaction data seriously. The following safeguards are in place:
- Encryption. All AI conversation data is encrypted both in transit (TLS 1.2+) and at rest using industry-standard encryption protocols.
- Account-Scoped Access. AI conversation data is strictly scoped to your account. Only authenticated users within your organization can access your AI interactions. No other ZippyPro customers can view your data.
- Never Shared. Your AI conversation data is never sold, shared with, or disclosed to third parties for marketing, advertising, or any other purpose unrelated to providing the ZippyPro service.
- No External AI Training. Your data is not used to train third-party AI models. Your business information stays yours.
- Minimal Data Processing. AI features process only the data necessary to generate relevant responses. We do not collect or retain data beyond what is required to deliver the service.

4. Usage Guidelines
ZippyPro's AI features are designed as productivity and operational tools for contractors and home service businesses. To get the most value from these features while using them responsibly, please observe the following guidelines:
Intended Use. AI features are designed to assist with:
- Drafting and refining customer communications
- Generating estimate descriptions and scope-of-work language
- Answering common business operations questions
- Automating routine workflow tasks
- Providing scheduling and project management suggestions
- Assisting with marketing content creation
Not a Sole Source. AI-generated outputs should not be used as the sole basis for:
- Legal decisions — including contract interpretation, regulatory compliance, or dispute resolution
- Financial decisions — including tax filing, accounting judgments, or investment decisions
- Safety-critical decisions — including building code compliance, structural assessments, or hazard evaluations
- Medical or health decisions — including workplace safety assessments or health-related determinations
Always verify AI-generated information against authoritative sources and consult qualified professionals when making decisions in these areas.
5. Accuracy & Liability
AI Can Make Mistakes. While we strive to provide accurate and helpful AI-generated outputs, artificial intelligence technology has inherent limitations. AI responses may occasionally be inaccurate, incomplete, outdated, or contextually inappropriate. You should always exercise your own professional judgment when reviewing AI outputs.
Your Responsibility. You are responsible for reviewing, verifying, and validating all AI-generated content before relying on it or sharing it with clients, crew members, or other parties. This includes, but is not limited to, estimates, communications, scheduling suggestions, and workflow recommendations.
Limitation of Liability. To the maximum extent permitted by applicable law, ZippyPro LLC shall not be held liable for any damages, losses, costs, or expenses — whether direct, indirect, incidental, special, or consequential — arising from or related to:
- Decisions made based solely or primarily on AI-generated outputs
- Inaccuracies or errors in AI-generated content
- Reliance on AI features without independent verification
- Any action or inaction taken as a result of AI-generated suggestions

6. Continuous Improvement
ZippyPro is committed to continuously improving its AI features to better serve contractors and home service professionals:
- Ongoing Updates. Our AI models, features, and capabilities are regularly updated to improve accuracy, relevance, and usefulness. These updates are deployed automatically as part of the ZippyPro platform.
- Industry-Specific Training. We continually refine our AI features to better understand and address the unique needs of the contracting and home services industry.
- Feedback-Driven. We value user feedback and use it to prioritize improvements to our AI features. If you encounter inaccurate or unhelpful AI responses, we encourage you to report them through the Platform.
- Transparency. Material changes to how our AI features work, including changes to data handling or capability, will be communicated through our Changelog and, where appropriate, via direct notification.
As AI technology evolves, so will this policy. We will update this page to reflect changes in our AI practices and will note the effective date of any revisions at the top of this page.
